Email Contact

  • Make sure you have clicked on the Contact's name in the list of Contacts from the Company: Contacts screen.
  • Click the 'Email Contact' button on the left-hand side
  • or click on the Contact's email address


The following form appears;

Note: Where there are multiple contacts at the client, and/or the client has been related to other client records then the other associated contacts will show.


For composing the message you have a few options;

    • You can choose to send the email to more than one contact by selecting more contacts' names in the list on the left
    • You can also attach a file to the email by selecting the file name from the Client Documents tab, the Standard Docs Tab, the Candidate Documents tab or Upload tab (from your PC, Dropbox or Google Docs) documents or send A (providing the file/document is already attached in the Company's Documents screen, see instructions here: Company: Documents)
  • Click Send Message to send.
  • It will automatically include your signature at the bottom of the email, so there is no need to enter your details in again.
  • If the contact replies to your email, you will receive it in your Email Client (eg Outlook, Thunderbird, etc)


If the Contact you're sending an email to is on your 'My Clients' list, users can choose if they would like to update their sales list 'Next Contact' and 'Next Visit' dates when the email is sent.

Email Contact from Template

Users have the option to send a 'template' email to Contacts. These are emails which already have the Subject and Text entered into as a Template.

  • Click the 'Email Contact' button on the left-hand side
  • Click the 'Email Contact from Template' button
  • Select the Template from the list & click 'Get Template'
  • Users can edit or add any information to the text in the email before sending
  • Click 'Send Email' to send.
  • The letter templates also automatically include your signature at the bottom of the email, so there is no need to enter your details in again.


Users can have any email/letter entered into ROL as a 'template'. Once it is inserted as a template, it is accessible to all users.
